The practical takeaway
Make the public menu easy to browse, confirm the staff and service settings, and test the actual Square link your caller receives.
Start with the client’s booking experience
Square Appointments can give clients an online booking route while your team is with patients. The route still needs to be clear: someone who has just spoken to your receptionist should understand which appointment to choose.
Our customer work has included updating booking platforms such as Square Appointments to make the client journey easier to navigate. We review the destination as well as the call, because the link your AI receptionist sends is useful only if the person can act on it.
Use the checklist below to review the published page, improve the choices and evaluate changes against your own booking records.
Confirm online booking is enabled and published
Before rewriting service names, confirm that the public booking route works. Square’s online booking setup guide explains enabling and publishing the booking site and obtaining its URL.
Open that URL outside your admin session. Verify the practice name and location. Check that the page loads on a mobile connection and that a client can reach appointment choices without needing your staff to explain an internal screen.
If you use an existing practice website, its appointment button should point to the published booking flow. Test the website button and the link you send by text; they should lead to the intended location and appointment path.
Organize categories and service names for clients
Square lets you organize services into categories and change how services appear on the booking site. Its booking-site customization guidance describes those options.
Build categories around how your clients look for appointments. “Consultations” or “Facial appointments” may be useful if they match your actual menu. Keep the practice’s approved first-visit process clear, rather than making a new client guess which treatment entry is right for them.
- Use plain service names.
- Place the appropriate consultation route where new clients can find it.
- Remove outdated or duplicate public choices.
- Write short descriptions that explain the appointment, not a clinical recommendation.
- Order categories and services so common requests are easy to browse.
Square settings and available features depend on your account. Check the current support guidance when updating your menu.
Check bookable services, staff and availability
For each service, verify the public booking setting, assigned staff, duration, location and available hours. Square’s service setup guide and bookable team-member guide explain these controls.
Test a service after every material change. If clients see no times, check the actual service and provider configuration before assuming there is no demand. Keep legitimate buffers, blocked time and practice policies in place.
Review the final request or confirmation screen so the caller receives an accurate explanation of what happens after submission.
Let Rita send the approved Square booking route
While your desk is occupied, Rita can handle the scheduling conversation and send the booking link your practice approves. That lets the caller continue in Square rather than waiting for someone to become free.
Use a platform-supported booking URL and test any service or location choices it contains. Where a specific route is unavailable, Rita can explain the category to select on the verified public page.
“I’ll send our booking page so you can view the available options. Choose the consultation category for your first visit. Please complete the booking steps; receiving this link does not reserve a time.”
A link handoff does not require us to claim that an appointment has been created. Availability checks and further actions depend on the Square connection and permissions configured for your practice. Read about our Square Appointments integration approach.
Run a mobile booking audit and review the result
- Call as a new client and request the approved next step.
- Receive and open the real booking link on a phone.
- Find the service, provider and location without staff help.
- Check times and the practice’s required booking steps.
- Verify the platform’s request or confirmation message.
- Repeat with an unavailable time and a returning-client request.
Track confirmed appointments separately from links sent. Record where clients need help and where they leave the flow if your tools provide that information. If you cannot attribute a booking to a particular call, keep that limitation visible.
