Terms of Service

The agreement between Hire Rita and the practices we answer calls for.

1. The agreement

By using Hire Rita, including requesting a demonstration or signing an order form, you agree to these terms. If you're accepting on behalf of a practice, you confirm you're authorized to do so.

2. What the service is

Rita answers calls forwarded to her, answers questions from information you approve, checks availability where a booking system is connected, sends booking links by SMS, takes messages, transfers calls on your rules, and delivers call summaries. Scope, hours and included usage are set out in your order form.

3. What Rita does not do

Rita is not a clinician and is not an emergency service. She does not diagnose, advise on treatment, recommend product amounts, determine medical eligibility, or collect payment card information. Callers with urgent medical concerns are directed to your team or to emergency services.

4. Your responsibilities

You provide accurate service menus, pricing guidance, policies and hours, and you approve what Rita is allowed to say. You keep that information current. You are responsible for your practice's compliance obligations, including any advertising, professional-licensing or patient-communication rules that apply to you, and for the call-recording notice used on your line.

5. Integrations

Connections to booking systems, calendars and notification channels are confirmed per practice. We do not promise an integration until it has been tested and approved on your account. Third-party providers may change or withdraw their interfaces; if that breaks a connection, we'll tell you and work on an alternative.

6. Fees and usage

Onboarding is billed once at the start. Subscription fees are billed monthly in advance and include the call minutes stated in your plan. Additional minutes are billed at the rate on your order form and itemized on your monthly summary. Fees are non-refundable except where required by law. We'll give at least 30 days' notice before changing rates.

7. Term and cancellation

Service runs month to month unless your order form says otherwise. Either party may cancel with 30 days' written notice. On cancellation we stop answering, hand back your configuration, and remove forwarding at your direction. Your phone number remains yours throughout.

8. Availability

We work to keep Rita answering around the clock, but the service depends on telephony carriers, SMS providers and your booking system, and we don't guarantee uninterrupted service. We'll notify you of planned maintenance and can route calls to voicemail or a fallback number during outages.

9. Ownership and confidentiality

Your business information, call records and patient data remain yours. The Rita platform, prompts and tooling remain ours. Each party keeps the other's non-public information confidential. We may use aggregated, de-identified performance data to improve the service.

10. Disclaimers and liability

The service is provided as-is. We make no guarantee of a specific increase in bookings or revenue. To the extent permitted by law, neither party is liable for indirect or consequential losses, and our total liability in any 12-month period is limited to the fees you paid us in that period.
